At Zephyr Lith Stronghold, we're not in the business of selling your data or spamming you with nonsense. We collect what we need to run a kickass gym and keep you safe. That's it. No shady stuff, no backdoor deals with supplement companies trying to hawk their products.

This policy explains what info we grab, why we need it, and what we do with it. We're based in Vancouver, BC, so we follow Canadian privacy laws (PIPEDA for the legal nerds out there). If you've got questions or something doesn't sit right with you, just shoot us a message.

Bottom Line: We respect your privacy. We're not gonna sell your email to some random marketing company or share your workout stats on social media without asking first.

What Data We Collect

Alright, here's what we're actually collecting when you walk through our doors or sign up online:

Personal Info

Health & Fitness Data

We also collect some technical stuff when you use our website - IP addresses, browser type, pages you visit. Standard web analytics to see what's working and what's not. Nothing creepy, promise.

How We Use Your Info

We're not just hoarding your data for fun. Here's exactly what we do with it:

Running the Gym: Membership management, class bookings, processing payments, scheduling your sessions with coaches. The basic operational stuff that keeps the lights on and the barbells loaded.

Keeping You Safe: Medical info helps us tailor programs and know when to push you or hold back. Emergency contacts are there in case something goes sideways (knock on wood).

Making You Stronger: Tracking your progress, adjusting programs, nutrition planning. Can't improve what we don't measure, right?

Communication: Sending class updates, schedule changes, billing reminders. Maybe the occasional newsletter if you opt in (and you can opt out anytime).

Legal Compliance: Tax records, liability waivers, meeting Canadian business regulations. The boring but necessary stuff.

Your Rights as a Member

You've got rights when it comes to your personal data. Here's what you can do:

Wanna see what we've got on file? Just ask. We'll send you a copy of everything we're storing about you. Takes us about a week to pull it all together.

If something's wrong in your profile - old phone number, incorrect emergency contact, whatever - let us know and we'll fix it ASAP. Accurate info keeps everyone safer.

When you cancel your membership, we'll delete most of your stuff. We gotta keep some records for tax and legal purposes (usually 7 years in Canada), but everything else can go.

Moving to another gym? We can export your workout history and progress data in a portable format. No hard feelings - we want you to keep making gains wherever you go.

Cookie Policy

Yeah, we use cookies. Not the protein kind (though those are great too).

Terms of Service

Alright, here's the deal when you join Zephyr Lith Stronghold:

Membership Rules

Your membership's personal to you - don't be lending out your key fob to friends. Billing happens on the same day each month, and if your payment bounces, we'll give you a heads up before suspending access. Cancellations need 30 days notice in writing (email's fine).

Facility Use

Treat the equipment right - if you break something through negligence, you're covering it. Rerack your weights (seriously, this isn't negotiable). Clean up after yourself. Respect other members and coaches. No harassment, no stealing, no being a jerk. We reserve the right to kick out anyone who can't follow basic gym etiquette.

Class Bookings

Book your spot, show up on time, or cancel at least 2 hours ahead if something comes up. No-shows might get you temporarily blocked from booking if it becomes a pattern. We've only got so many spots and there's always someone on the waitlist.

Personal Training

PT sessions need 24 hours notice for cancellations or you're still paying for the slot. Our coaches put time aside specifically for you, so respect that. Miss too many without notice and we might have to part ways.

Liability Waiver & Assumption of Risk

Listen, we gotta be straight with you - lifting heavy things, doing high-intensity training, pushing your limits... there's inherent risk involved. That's part of what makes it awesome, but it also means stuff can happen.

Real Talk: By training here, you're acknowledging that exercise carries risk. Injuries can happen even with proper form and supervision. You're responsible for knowing your limits and listening to your body.

We do everything we can to keep you safe - qualified coaches, well-maintained equipment, proper programming. But we can't eliminate all risk. You're agreeing to:

  • Follow coach instructions and safety guidelines
  • Disclose any medical conditions or injuries upfront
  • Not train beyond your capabilities
  • Use equipment properly and ask if you're unsure
  • Accept that accidents can happen despite best efforts

By becoming a member, you're waiving the right to sue us for injuries that occur during normal training activities (unless we're grossly negligent, which we won't be). You're also agreeing to cover your own medical costs if something happens.

We've got liability insurance, and we take safety seriously. But this is functional fitness and athletic training - it's demanding by nature. If that makes you uncomfortable, this might not be the right gym for you, and that's totally okay.

How We Protect Your Data

We're not gonna pretend we're Fort Knox, but we take data security seriously:

  • Payment info's processed through encrypted, PCI-compliant systems - we don't store your full credit card numbers
  • Member database is password-protected and only accessible to staff who need it
  • Regular backups in case something goes wrong
  • SSL encryption on the website for secure data transmission
  • Physical files (if we have any) are locked up when not in use

If there's ever a data breach, we'll let you know right away and tell you exactly what happened. Transparency matters.

When We Share Your Info

We don't sell your data. Period. But there are a few situations where we share info:

Payment Processors: Gotta send your billing info to our payment company to charge your membership. They're bound by their own strict privacy rules.

Email Service: We use an email platform for newsletters and updates. They only get what they need to send emails.

Accounting/Legal: Our accountant and lawyer might see financial records and contracts. They're professionals bound by confidentiality.

Emergency Situations: If you get hurt and we need to call your emergency contact or paramedics, we're sharing relevant medical info. Life over privacy in those cases.

Legal Requirements: If we're legally required to hand over info (court order, etc.), we will. But we'll fight it if it seems unreasonable.
